We have an exciting opportunity for an experienced Junior event manager to join our events team to manage and help grow our fantastic programme of Don’t Panic-owned and client events – locally, nationally, and globally.
WHAT YOU’LL BE DOING?
Reporting to the Head of Events and Senior Event Managers, you are responsible for working with and supporting the team with production, administration and project management, and managing and assisting where required, effective event delivery for both clients and Don’t Panic-owned events.
RESPONSIBILITIES
- Lead and assist in the planning and execution of events within the Don’t Panic portfolio.
- Create and manage event budgets across projects, Maximising income, and minimising expenditure to create profit for our clients Don’t Panic
- Deliver high-quality levels of customer service in keeping with the Don’t Panic brand and ethos.
- Negotiate agreements with suppliers, venues and subcontractors to secure hires, products and services at the lowest cost while maintaining the highest quality.
- Work with the Don’t Panic team to create and deliver appropriate event solutions.
- Lead in internal and external project meetings when required
- Check AV quotes to ensure relevant equipment is included for the production of events.
- Independently show call on events (Training can be provided)
- Manage communication between clients, the agency and suppliers to ensure effective event delivery
- Source and secure venues and catering at the best possible rates and appropriate minimum numbers on favorable terms including the production of venue search reports
- Source, manage and deliver event infrastructure including AV, branding and entertainment, ensuring the highest quality is delivered to our clients at the best possible prices
- Confidently manage the judging process in line with our outstanding awards accreditation which includes checking entries, hosting a judge briefing call and managing the judging sessions.
- Work with the events team to create compelling, engaging content, sourcing hosts/speakers and entertainment as required
- Manage event bookings and award entries by procedures and in an accurate manner including managing invoices ahead of shortlist announcements or event dates
- Managing ongoing speaker/host liaison including the creation of briefing notes, booking of travel and accommodation at the best possible rates
- The preparation of Risk Assessment Method Statements, Event Plans, and Emergency Procedures as required – to be signed off by your manager.
- Contribute to producing effective project plans, identify tasks, and manage execution and delivery to ensure milestones are achieved.
- Manage the creation and distribution of event briefing documents
- Manage event bookings, ticket sales and registration to ensure a seamless delegate booking experience, accurate records and provide high levels of delegate liaison
- Management of international event logistics, including travel, accommodation, visas and travel itineraries for the team if required
- Flexibility and the ability and willingness to travel abroad for events when required
- Participate in brainstorming sessions and contribute creative ideas for event themes, designs, and concepts
- Assist in post-event evaluations and feedback collection to identify areas of improvement for future events.
- Stay updated with industry trends, event management best practices, and emerging technologies.

WHAT DO WE NEED?
- Bachelor’s degree in event management or a related field (or equivalent experience).
- Prior experience in event planning or related roles is desirable.
- Strong organisational and multitasking skills to handle multiple projects simultaneously.
- Excellent communication and interpersonal skills to collaborate effectively with clients, vendors, and team members.
- Attention to detail and ability to work under pressure to meet deadlines.
- Flexibility to work away which often involves an overnight stay and international travel
- Creative thinking and problem-solving abilities to handle unexpected situations during events.
